Planning Committee Notes - 50th year reunion

POST 50TH REUNION COMMITTEE NOTES – SEPTEMBER 15, 2010

 

In attendance:  Tom Hartman, Joe Calkins, Don Fisher, Carolyn Spatra Perrone, Art Pease, Bill Hainsworth, Karen Knutson Smith, Bev Schlotterbeck Olson

The purpose of this meeting was to recap our three day reunion activities and have them in writing for any future reunion activities.

The overall opinion was the reunion was a huge success.   We all received many compliments on the organization of the events from various classmates, spouses and guests.  A special thank you Gail for stepping up to be the lead in this effort.

The music was great with a special thank you to Art Pease and his son-in-law.   A card has been sent. 

The memory video organized by Jerry Peltier was very well done.

The name tags were very well done and appreciated – Don Fisher and Bev Olson.  

Overall the hotel and food were a success.  Drinks were a little high especially since happy hour was happening in the bar.  Several purchased their drinks from the bar. 

 The dance floor could have been a little larger.

Hospitality room was utilized by very few.

Inviting other classes received positive comments.

Suggestions & comments:  (some will contradict as various opinions were expressed)

Have a gathering once a year although a lot of work and planning.

In five years have a picnic or combination like we did this year close to the September 11 date depending on the day it falls on. 

An understanding with hotel/venue that there will be some late reservations and there be some no-shows.  Obviously we wouldn’t allow anything major.

Include classmates from 1957-1961 in one of the events.

Change location – not necessarily in Federal Way or a hotel

Some liked hotel as classmates wouldn’t have to leave facility after event.  

Raffle needs to happen earlier in the event/winners chosen in a different method/donors of raffle items need to be recognized.

Forgot to take group picture at dinner.  Picture at picnic unorganized so some may be blocked from view.  Sun was a huge problem.

Tour of school, lunch and student presentation very well done and well received by those in attendance.  A thank you card has been sent.

At future committee meetings someone needs to take accurate minutes/notes and distribute them after meeting.   Confusion at times as to who was doing what. 

The Treasurer for the event should be local.  Tom did a great job from across the US.  He will provide an itemized statement of finances.

Chuck Breider volunteered to be on the committee for the next reunion as he is planning to move to this area. 

Possible memory book discussed.   Joe Calkins has some interest in doing it.  He would need Publisher software.  Don Fisher has capability also.  Getting information from classmates is very time consuming.

We need new ideas as to how to display pictures depending on venue.

To keep the website moving forward, we should take it upon ourselves to contact some of the ones who haven’t sent in any information and request they do so.  Especially those who attended the reunion. 

A core planning committee (the workers) with a lead or chairman should be selected/identified and stay consistent.  There may be peripheral attendees to give ideas and who just enjoy being at the meetings.  Basically we did that this year however there was confusion as to who should receive emails etc.

Current planning group will meet again in January or February of 2011 to talk about any future plans or possibilities. 

If any of you have more ideas/suggestions/comments please jot them down on your copy of this and tuck them away.    I’m on to my fall schedule now and putting this reunion behind me for awhile.
